Client Overview

When the University of Adelaide and the University of South Australia came together to form Adelaide University, two established digital ecosystems needed to operate as one while continuing to support teaching, research, administration and student services.

PlanB Consulting provided architectural leadership, migration strategy, information architecture, governance design and technical delivery across the Microsoft 365 estate. Over approximately 18 months, PlanB worked alongside university stakeholders to consolidate more than one petabyte of information and establish a modern, governed digital workplace for the new university.

Business Challenge

Bringing separate environments together without interrupting the work of a new university

The technical scale was substantial, but the larger challenge was creating a coherent experience for people moving into a newly formed organisation.

  • Consolidate three Microsoft 365 tenancies into a unified environment.
  • Migrate a large Exchange Online and OneDrive estate through carefully staged seeding and cutover activities.
  • Assess, govern and transition thousands of SharePoint sites and Microsoft Teams workspaces.
  • Support complex staff and student identity scenarios across both institutions.
  • Preserve continuity for teaching, research, administration and student services.
  • Design a future-state collaboration model aligned to Adelaide University’s new organisational structure.
  • Deliver against a tightly constrained cutover window leading into the 5 January go-live.

The engagement was not simply about moving data.

It needed to establish the collaboration, governance and information foundations required for Adelaide University to operate as a unified institution from an unmovable go-live and continue evolving its Digital Employee Experience.

More Than a Migration

The engagement was not simply about moving data. It needed to establish the collaboration, governance and information foundations required for Adelaide University to operate as a unified institution from an unmovable go-live and continue evolving its Digital Employee Experience.

Scale of the engagement

The program brought together a significant Microsoft 365 estate

  • 1PB+More than 1 petabyte was the total information handled across the program.
  • 70MDocuments identified in the OneDrive migration workstream
  • 35KOneDrive for Business accounts in program scope
  • 35KExchange Online mailboxes in program scope
  • 30K+SharePoint sites and Microsoft Teams workspaces assessed and transitioned
  • 15KStaff supported
  • 5 JAN5 January 2026 target production go-live

PlanB’s Role

Migration leadership combined with future-state digital workplace design.

  1. 01Migration strategy and architecture

PlanB developed and guided the migration strategy across Exchange Online, OneDrive for Business, SharePoint Online, Microsoft Teams and shared resources.

    • Architectural leadership and design assurance
    • Migration sequencing, pilots and readiness reviews
    • Identity, dependency and user-mapping considerations
    • Issue management, remediation and post-migration validation
    • Coordination across migration tools, technical teams and stakeholders
  2. 02Future-state SharePoint and information architecture

Rather than recreating the two legacy environments, PlanB helped design a modern SharePoint architecture aligned to Adelaide University’s organisational structure.

    • Portfolio-level hub sites providing the overarching framework
    • Function-level hubs associated with their parent portfolio
    • Sub-function site collections for document collaboration
    • Cross-functional workspaces connected to the relevant collaboration hub
    • Managed metadata supporting portfolio, function and sub-function tagging
    • Search designed around the new organisational structure
  3. 03Collaboration Hub and Digital Employee Experience

The Collaboration Hub formed one of three central pillars within Adelaide University’s Digital Employee Experience, alongside the Staff Portal and Services Hub. Together, these channels were designed to provide staff with a connected and consistent way to access information, collaborate with colleagues and obtain university services. PlanB played a leading role in defining and designing it as the primary collaboration layer.

    • Reflect the structure and ways of working of Adelaide University
    • Integrate naturally with the Staff Portal and Services Hub
    • Provide a consistent collaboration and knowledge-sharing experience
    • Improve content discovery through metadata, tagging and search
    • Reduce fragmentation and complexity inherited from the merger
    • Create a future-ready foundation for automation and AI
  4. 04Automation, provisioning and governance

PlanB designed and implemented an automated provisioning framework using Azure, SharePoint and Power Automate so the future-state environment could be sustained at scale.

    • Consistent provisioning of hubs, sites and workspaces
    • Application of metadata and organisational attributes
    • Defined ownership, security and sharing controls
    • Site lifecycle and operational governance
    • Reduced manual administration and improved repeatability
    • Supporting documentation, deployment guidance and operational handover
“This project was not simply about migrating data. It was about creating the digital foundation for an entirely new university. Every decision, from information architecture and governance through to user experience and collaboration design, was focused on enabling Adelaide University to operate as a single institution from day one.”

Why it matters

University mergers demand more than the movement of data. They require organisational alignment, governance, information architecture, stakeholder engagement, and precise technical execution while critical services continue to operate.

PlanB helped Adelaide University bring together complex Microsoft 365 environments while also designing the collaboration experience for the future institution.
